Version 1.2, October 2026

Auscity Pty Ltd ACN 602 847 021, trading as Sovereign Vault & Bullion and Harringtons Noosa (we, us, our).

1. ABOUT THIS POLICY

This policy explains how we collect, use, hold and disclose personal information, and how you can access it, correct it or complain. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

It applies to customers, people who sell to us, vault and safety deposit box clients, visitors to our premises and visitors to our website.

2. WHAT WE COLLECT

Depending on the service, we may collect:

  • Identity information: your name, residential address, date of birth and contact details.
  • Government identity documents, such as your driver licence or passport, including copies or images of the document, and a record of how it was verified.
  • Entity information, where you deal with us through a company, trust or self managed superannuation fund, including details of directors, trustees, beneficial owners and controllers.
  • Screening information, including the results of sanctions and politically exposed person checks, and any related public source research.
  • Transaction and payment details, including what you buy, sell or store with us, and bank or card details where you pay that way.
  • Vault and safekeeping records, including access records for your box or holding.
  • CCTV footage while you are on our premises, for safety and security.
  • Communications, including emails, messages and notes of your enquiries.
  • Website information, including your IP address, browser type, pages visited and cookies, where you use our website.

We do not collect sensitive information, such as health or biometric information, unless you consent to it or the law requires or permits it.

3. HOW WE COLLECT IT

We collect most information directly from you, in person, by phone, by email or through our website. We also collect information from other sources where the law requires or permits us to, including:

  • Identity verification tools and services used to check an identity document, including the government Document Verification Service.
  • Public registers and public sources, including ASIC and ABN searches, sanctions lists and public source research for politically exposed person checks.
  • Your authorised representative, adviser or accountant, where you have asked them to deal with us for you.

Where you give us personal information about another person, such as a company officer, trustee or beneficial owner, you must have their consent to do so and must tell them about this policy.

4. WHY WE COLLECT IT

We collect this information to provide our services, being buying and selling bullion and safekeeping of client valuables, to verify your identity, to keep the records the law requires, and to meet our obligations under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth), the Second-hand Dealers and Pawnbrokers Act 2003 (Qld), tax law and other laws that apply to us.

If you do not provide the information we need, we may be unable to complete a transaction with you or provide a service. We do not use computer programs to make decisions about you that significantly affect your rights or interests. Identity, sanctions and politically exposed person checks are reviewed by a member of our staff.

You may deal with us anonymously or by using a pseudonym where it is lawful and practicable, for example when making a general enquiry or checking our prices. For most purchases, sales and storage services the law requires us to identify you, so this option is not available for those transactions.

5. HOW WE USE AND DISCLOSE YOUR INFORMATION

We use your information to provide and administer our services and to meet our legal obligations. We may disclose it:

  • to AUSTRAC, where the law requires or permits, including in threshold transaction reports and suspicious matter reports;
  • to the Queensland Police Service and to the Office of Fair Trading, where the law requires or permits;
  • to other regulators, courts or government agencies where required by law;
  • to our service providers, including identity verification, payment, courier and delivery, insurance, security, accounting and information technology providers, who are bound to keep it confidential and to use it only for the service they provide to us;
  • to our professional advisers, including our accountant, lawyers, auditors and the independent evaluator of our AML/CTF program, who are bound to keep it confidential;
  • to your authorised representative, where you have told us to.

We do not sell your personal information.

Reports we make under the AML/CTF Act are confidential. Where the law prevents us from telling you about a report, we will not do so, and we are not able to explain the reason for a delay or refusal caused by it.

6. DIRECT MARKETING

With your consent, or where the law otherwise allows, we may use your contact details to tell you about our products, services and market updates. Every electronic message includes a simple way to unsubscribe, and you can also opt out at any time by contacting us using the details below. We act on opt out requests promptly and at no cost to you. We never use identity documents, or information collected only to meet our AML/CTF obligations, for marketing. We do not provide your details to other businesses for their own marketing.

7. STORAGE, SECURITY AND RETENTION

We hold your information securely. Paper records, including identity records and transaction documents, are kept in a locked office at our business premises. Electronic records are held in our business systems, which require multi factor authentication, with access limited to the Compliance Officer and authorised staff.

We keep identity, customer due diligence and transaction records for at least 7 years, as required by the AML/CTF Act, and we keep records of second-hand goods we buy for the period required by Queensland second-hand dealer law. We destroy or de-identify information when we no longer need it and the law no longer requires us to keep it.

If a data breach involving your personal information is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

8. OVERSEAS DISCLOSURE

We store most of your information in Australia. Some of the service providers we use to run the business may store or process information outside Australia:

  • Our accounting and invoicing system, Xero, a New Zealand company, may store or process information in New Zealand, the United States or other countries in which its hosting operates.
  • Our email and business documents are hosted by Microsoft (Microsoft 365), which may store or process information in Australia and in other countries where Microsoft operates. Our website and online store are hosted by OnlyDomains, operated by CentralNic NZ Ltd, a New Zealand company, whose servers may be located in New Zealand, Australia, the United Kingdom, Europe or the United States depending on the hosting region.

Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure that it is handled consistently with the Australian Privacy Principles, including through our agreements with those providers.

9. ACCESS, CORRECTION AND COMPLAINTS

You can ask to access or correct the personal information we hold about you by contacting us using the details below. We may need to verify your identity first. We will respond within a reasonable time, normally within 30 days. We do not charge you for making a request or for correcting your information. If giving access involves significant cost, we may charge a reasonable fee for providing access, and we will tell you before we do so. There are limited circumstances where the law allows us to refuse access, and if that happens we will tell you in writing, with our reasons unless the law prevents us from giving them.

If you are concerned about how we have handled your information, please contact us in writing first so we can try to resolve it. We will acknowledge your complaint within 5 business days, investigate it, and give you a written response within 30 days.
